Introducing Proposals and Contracts

You’ve met with your adorable potential new clients (PNCs) over coffee, diligently scribbled notes all over your branded notebook, you ran back to the office to create a new Lead Record in your Aisle Planner account, furiously typed up all of the notes you took in the meeting…and then went back to your old school ways of creating a doc on your desktop to then send your PNC a proposal and contract via email? Well, no longer! GOODBYE STONE AGES! We are thrilled to announce the release of proposals, contracts and e-signatures, all managed directly in your Aisle Planner account.

How to Send a Document

You’ll remember that we included the ability to create Document Templates in our last release and now, you have the ability to send those templates (in addition to documents you create on the fly) directly to your leads – right from within Aisle Planner!

To send proposals, brochures, contracts or any other branded documents to a potential client, simply click the Leads tab on your Planner Dashboard and then click into a Lead Record. Scroll down and under the Notes section of the Lead Record, you’ll see a Documents section.  Click the “+” to select a Document to send.

Choose from any of the Document Templates you have already created or create a new document on the spot. After selecting the document you’d like to send, it will open to a screen where you can make edits to the document prior to previewing or sending it. You can set things like the document type, name, signature requirements (none, signature, signature and counter signature), and recipients as well as  view the edit history in the right side bar labeled Document Details.

When you are finished editing and are ready to send the document, click on the Export button (you can preview or download the document before sending as well). A modal will open where you can confirm or edit the recipient’s email contact, edit the subject line as well as write a message. Then all you have to do is click Send!

Collecting Signatures and Getting Notified

After you’ve sent the document off, the recipient will find it in their email inbox and it will be branded with your logo just like they’re used to seeing from Aisle Planner. When they open the email, they’ll see your message (like in the first image we included in this blog post) along with a link to View Document. When the recipient clicks on that link, the proposal, service sheet, brochure, contract – whatever you’ve sent them – will open in a new tab. And, depending on the signature requirements you set, they can electronically sign the document on the spot! Aisle Planner New Feature Proposals and Contracts

Once they do, you’ll receive notification that the document has been signed and a prompt to countersign (if that is how you set the requirements).

A Few Notes About Sending Documents

  • Regardless of how many weddings are included in your plan, you can send an unlimited number of documents out for signature!
  • You (the planner) can countersign any documents that require your signature from the email notification or from within Aisle Planner
  • Any documents you send will live in the Lead Record you created it from. So, once the client is booked, you can still refer to the documents there

      Ashlee, yes it does! When you click into a Proposal or Contract that has been sent, you’ll be able to see if they viewed it in the right side bar. Sorry that I can’t attached a screenshot here so, if you have any other questions, get in touch with us at customercare@aisleplanner.com

    Thank you so much for all that you do to make our lives easier! I love (LOVE) Aisle Planner and am thrilled at the prospect of being able to send documents directly from within the Aisle Planner interface, but please oh please might it be possible for us to upload our own documents to Aisle Planner that can be sent along to clients (even if just as a linked file they can download, not something they can open within Aisle Planner) Your tools are all fantastic but for the moment the formatting features in your documents are quite limited – and just as an example I worked *really* hard on getting a styling services brochure just right – complete with on-brand fonts and colours and well-formatted text and photos. So to abandon that and swap it out for a relatively plain-text version, seems a bit heart-breaking. :/ But again – thanks so much for what you do, really really happy with it in general!

      Hi Anja! Thank you so much for the feedback and yes, I totally hear you on this one. Just like all of our new releases, think of them as version 1. We know that there are lots of functions that our community would like to see in our tools and we map things out with those requests in mind. We will be giving you more ability to format things in our Proposals and Contracts feature in the future! There is so much coming!

    LOVE that you’ve added this feature! If I just converted a bride to a ‘client’ instead of lead, can I still create her agreement and send to her or does she still need to be in the ‘lead’ section?
